What is business orchestration?

Business orchestration means handing the follow-up at every handoff, such as sales to service or service to billing, to AI agents. An accepted quote opens an order, a service request gets a suggested technician, and an overdue invoice lands in front of you. In PureField, Copilot and digital employees running on PAIOS (PureField AI Operating System) do this follow-up; deletes, missing details and purchase order approval stay with you.
What problem does orchestration solve?
Orchestration solves work getting dropped when it changes hands between teams. In most companies the records exist. The quote sits in the CRM, the work order in a service tool, the invoice in accounting, and nobody owns the question of whose turn it is now.
A typical week looks like this. The service manager phones round in the morning to find out who is free. The technician on site doesn't know whether the part is in the van. The invoice for a closed work order goes out two weeks late. The overdue invoice is noticed only when the customer asks for the next visit.
Which handoffs get followed up?
The handoffs are the points where work moves from one module to the next. In PureField most of them happen on their own because the records are linked; the agents watch the rest.
| Handoff | What happens to the record | What the agent does | Who decides |
|---|---|---|---|
| Quote accepted | An order opens by quote type, QR asset cards are created from the lines | The Quote Follow-up digital employee tracks open quotes | Sales team |
| Service request arrives | The request is linked to the customer record and the asset | Technicians are scored by skill, distance and workload | The service manager approves the assignment |
| A part is needed | The service van is kept as a stock location | In a Copilot meeting the operations director checks van stock | Technician and warehouse |
| The part isn't in stock | A purchase request becomes an RFQ, the chosen bid becomes a PO | A digital employee can prepare a suggestion | Someone on your team approves the purchase order |
| Work order closed | The signed service report goes to the customer as a PDF | You can ask Copilot which jobs have not been invoiced | Finance team |
| Invoice overdue | The balance shows on the customer record | The Collections digital employee brings a suggestion on an approval card | Finance team |
| Maintenance date approaching | A reminder email goes to the customer | The Service Planning digital employee checks technician calendars | Your team opens the new work order |
What does Copilot do here?
Copilot answers questions you type in plain language from your own records and, when needed, opens a management meeting. Type "Assign a technician for the boiler fault at Moda Apartments" and the After-Sales Services Director checks the asset history, the Service Planning digital employee checks technician calendars, and the Operations & Supply Director checks the van for the spare part. The result is an approval card: "Create work order, assign to Mert Aydın for 24 October, 10:00."
The directors and digital employees in the meeting are AI personas. Each has an AI badge next to their name, and you can rename them for your company.
What does the agent save on its own, and what waits for you?
A complete create or update plan is saved directly. If the plan deletes something, is missing fields, needs a form step or used content read from an external source, the card waits for your approval.
- Copilot's complete create and update plans: saved directly.
- Deletes, missing fields, form steps, external content: wait for approval.
- Digital employees: suggest and wait for approval by default.
- Purchase order approval: always given by someone on your team.
Which companies is orchestration for?
It suits companies where sales, field work and finance revolve around the same customer. That includes firms that sell and service HVAC, boilers, lifts or industrial equipment, process manufacturers who track shipments and quality, and service companies running maintenance contracts.
The payoff grows with the number of handoffs between sales and service. The records need to live in one place first.
How does business orchestration relate to an ERP?
Orchestration is how the work gets followed up, and it runs on top of ERP records. PureField ERP keeps orders, stock, recipes and lots; you keep the general ledger and trial balance in your accounting software.

Frequently asked questions
Which handoffs happen on their own when records are linked?
An accepted quote becomes an order, and a closed work order sends its report to the customer. The agents take on the follow-up nobody owns and call you in to approve.
How do digital employees work with your team?
They suggest and wait for approval by default. Closing deals, approving purchase orders and talking to customers stay with your team.
Which teams does orchestration involve?
Quote follow-up concerns sales, collections follow-up concerns finance, and material needs concern the warehouse and purchasing. Technical service is the most common starting point because that's where most handoffs happen.
Which data does Copilot look at?
The records in the panel you're signed in to. The PureField AI Agent on this website explains the product and answers your questions.
