Workflow automation: work order done, team notified

PureField workflows are automations you build step by step on a canvas. A workflow starts when a record is created or changed, on a schedule, from an inbound request or by hand. It branches on conditions; finds, creates and updates leads, work orders or invoices; and sends panel notifications, emails or chat messages. AI steps write, extract and classify text.

A new lead arrives, the workflow picks one of three paths.

PureField's ready-made template, on sample data. Pick a lead and press Test: AI classifies it, admins get an alert for hot leads, warm ones get a follow-up call tomorrow.

Adjust the classification instructions and the follow-up delay to your process.

Click a step to see its settings. After a test, each step's input and output data opens too.

Pick a trigger, connect the steps.

You build the workflow on a grid canvas. Steps are cards; you connect each output to the next step.

  • Triggers

Starts when a record is created, updated or deleted. A schedule runs it at an interval or every day, week or month; inbound requests and manual starts work too.

  • Conditions, routing, waiting

An If step splits the flow into true and false paths; a Switch step picks a path by rule. A Wait step pauses the flow for a set time or until a date.

  • Records

The workflow finds records, fetches one by its ID, creates new ones and updates fields. Leads, activities, work orders and invoices go through the same steps.

  • Notifications and messages

Panel notifications show in the bell and as a push notification. The workflow sends email and posts to a team chat group or to a Slack, Microsoft Teams, Google Chat or Discord channel.

  • AI steps

Writes text from your instructions, pulls fields out of free text, and sorts text into categories that each follow their own path.

  • External systems and sub-workflows

An HTTP request goes to a public address and its response joins the flow. Split a long workflow into parts and call one from another.

  • Test and live runs

Press Test to try the workflow: a green ring spins around the running step, and finished steps get a check mark. Open any step's input and output data.

  • Run history

Every run sits in the Runs tab, step by step. Inspect a failed run, retry it, or cancel a run that is still going.

Start from a template, or describe it.

Templates are listed by the modules your company has turned on. Rather skip the blank canvas? Write what should happen and let AI build the draft.

What should be automated?

Every morning at 09:00, find overdue invoices and email me a summary.

The draft only uses record types from modules your company has turned on and that you can access. Each draft uses 1 AI credit.

One person builds it, the team installs a copy.

Each team or branch doesn't rebuild the same workflow. The person who built it shares it in the library; the others install their own copy and change recipients and timings to fit.

How sharing works

  1. 1You share it to the library

In the editor, press Share to library and pick the scope: your company or the community. Add a title, description and category.

  2. 2A copy lands in the library

A copy of your workflow goes to the library; yours stays as it is. Secret values and fixed record IDs are removed from the copy.

  3. 3A colleague installs it

They press Install and their own copy opens inactive. They check the recipients and turn it on, or download it as .json.

  • Sales

Send hot leads to the regional manager

When AI marks a lead as hot, a panel notification goes to the manager of its region.

  • Service

Post completed work orders to the service group

When a work order is completed, AI writes a summary to the service group in team chat.

Every branch runs on the same rule

The sales manager in the Bursa branch builds the hot lead workflow and shares it with the company. The Istanbul and Izmir managers install the same workflow and point the notification at their own teams.

Find ready-made workflows in the community

The Community tab holds workflows other PureField companies shared and PureField approved. Install the one you like and adjust it to your records. The sharing company's email addresses and record IDs are not in the copy.

Move it to another account

Export the workflow as .json and import it into another PureField account. Secret headers and chat channel URLs are left out of the file; the imported workflow starts inactive.

Frequently asked questions

Which package includes workflows?

They're included in PureExecutive and available as an add-on for PurePioneer. The pricing page has the details for the packages and the add-on.

Which records can a workflow use?

Record types from the modules your company has turned on, limited to what you can access. The same rule applies when you edit, when you save and when the workflow runs.

Do AI steps use credits?

Yes. Classify, extract and write steps use AI credits, and each draft created with AI uses 1 credit. Monthly credits per package are on the pricing page.

What happens when a step fails?

You choose per step: the workflow stops, continues, or sends the error down its own path. The failed run shows step by step in the Runs tab, and you can retry it from there.

Can I move a workflow to another PureField account?

Yes. Export it as .json and open it in the other account with Import. Secret values are left out of the file and the imported workflow starts inactive, so you check it before turning it on.
