What is business management software?

Business management software connects sales, field service, stock, purchasing, invoicing and HR to the same customer, equipment and product records. An accepted quote opens an order, a completed service report is invoiced, and the payment is recorded against the invoice. PureField runs these modules on one platform, and Copilot and digital employees follow up the work.

Who needs it?

Business management software helps most when sales, field and office teams all touch the same customer. A typical week looks like this: a salesperson builds the quote in a spreadsheet, phones the warehouse when it is accepted, the service team asks the customer for the serial number again, and accounts issues the invoice without seeing the service report. Each team keeps its own list accurate, yet the same customer exists in four places in four different states.

Small and midsize companies that sell equipment and service it, run maintenance contracts, or produce in batches from recipes feel this gap the most.

Which modules does it include?

Business management software usually covers sales, marketing, service, stock and production, purchasing, finance and HR. What matters is not the number of modules but whether their records are linked.

ModuleWhat it holdsWhat it links to
CRMLeads, opportunities, activities, contacts, quotesAccepted quote becomes an order; sales creates equipment records from its lines
MarketingSegments, campaigns, sequences, web forms, consent logForm submissions are matched to CRM leads
Sales autopilotCold email campaigns, Unibox repliesA positive reply becomes a task for the lead owner
Field serviceService requests, work orders, QR equipment records, service reportsEquipment history and the customer record
ERPOrders, shipments, warehouses, stock, recipes, batches, lotsQuotes, purchasing and parts in the service van
PurchasingRequests, requests for quotation (RFQ), purchase orders (PO)Supplier records and supplier invoices
FinanceSales and purchase invoices, expenses, payments, e-invoicesBalances on customer and supplier records
HRStaff records, leave, on-call rotaTechnician calendars and the service team

How do the modules connect?

The modules connect through shared customer, equipment and product records, so the end of one job becomes the starting record of the next. At an air-conditioning company the flow looks like this:

  • A salesperson prepares a VRF air-conditioning quote for a dental clinic. Purchase cost and margin for each line are visible before the quote goes out.
  • The customer accepts. Depending on the quote type, an order opens on its own, and the sales team creates five QR equipment records from the quote lines.
  • Six months later the clinic reports a fault. The service request is linked to the customer and to the unit, then turned into a work order.
  • The technician scans the QR code and sees the warranty and the last service. They write the report on site, add photos and get the customer's signature. The PDF report goes to the customer by email.
  • Finance issues the invoice and sends it as an e-invoice through the Aposkal connection. When payment arrives it is recorded against the invoice and the customer's balance updates.

Purchasing follows the same pattern. The service store raises a purchase request for a missing compressor, the buyer turns it into an RFQ, and suppliers enter their prices in a web portal. The chosen quote becomes a purchase order, and the delivery and supplier invoice are linked to it.

How is it different from ERP and accounting software?

Business management software keeps ERP's stock and order work in the same place as sales, service and field work, and it works alongside your accounting software. The three are often confused, but they answer different questions.

With PureField you keep the general ledger, trial balance, tax filings and payroll in your accounting software and with your accountant; invoices and customer accounts are matched with Logo, Paraşüt or Aposkal. In the ERP module, MRP shows the weekly capacity load on production equipment.

What do AI agents do in this setup?

AI agents take on the follow-up work between modules and prepare the next step. We call this business orchestration: an overdue invoice gets a reminder draft, an unanswered quote gets followed up, and a new service request gets a ranked list of suitable technicians, without anyone having to remember.

In PureField two things do this. Copilot answers plain-language questions in the panel from your own records, and when a question needs your records it opens a management meeting with the sales, finance or operations personas involved. Digital employees for collections, quote follow-up and service planning prepare suggestions and wait for your approval by default. More in what are AI digital employees.

What should you check when choosing one?

When choosing, look less at the module list and more at how a record moves from one module to the next. Ask these questions in the demo, using your own sample data:

  • Does an accepted quote become an order and equipment records without retyping?
  • Can the technician see the equipment history on site and get the report signed by the customer?
  • Can you invoice a completed service report, and does the payment show on the same customer record?
  • Is there a connection to your e-invoice provider or accounting software?
  • Which records does the AI write directly, and where does it ask for approval? Who approves deletes and purchase orders?
  • Does the vendor say plainly what each module does and which work stays in your current tools?
  • Can you start with one module and add the rest later?

How does it work in PureField?

PureField is business management software that runs with AI agents. CRM, marketing, sales autopilot, field service, ERP, purchasing, finance and HR use the same customer, equipment and product records. Copilot and digital employees run the follow-up work on those records.

Most companies start with one module. For example, they set up CRM first and move quotes onto the customer record, then add field service and finance. Because records share one structure from the start, adding a module does not mean re-entering old data.

Frequently asked questions

How is business management software different from ERP?

ERP mainly manages stock, orders and production. Business management software also ties in sales, service, field teams and collections. PureField's ERP module covers stock, orders and process production, and MRP shows weekly capacity load.

How does it work with our accounting software?

PureField tracks invoices, expenses, payments and e-invoices through Aposkal alongside sales and service. You keep the general ledger, trial balance, tax filings and payroll in your accounting software.

Can we add modules step by step?

Yes. You can start with one module, such as CRM or field service, and add the others later. Customer and equipment records are shared from the start, so a new module uses the existing records.

Which records does the AI save directly?

Copilot saves complete create and update plans directly. If a plan deletes something, is missing fields, needs a form step or used external content, the card waits for your approval. Digital employees suggest and wait for approval by default, and purchase orders are always approved by someone on your team.

How is pricing set?

Pricing depends on users, modules and setup. Fill in the quote form on the demo page and we will send a quote for your company.
