The purchasing module is the PureField module where a company turns an internal purchase request into a request for quotation (RFQ) to suppliers, and the chosen quote into a purchase order (PO). Purchasing runs in the panel; suppliers open the RFQ in a web portal and enter their quote. The module runs on the same platform as CRM, field service, and stock, and supplier records are shared with the stock module.
What does the purchasing module manage?
| Area | What the module holds |
|---|---|
| Purchase request | A need from the warehouse, service, or production team: item, quantity, date needed |
| RFQ | Quote request sent to suppliers and their responses |
| Supplier quote | Side-by-side comparison of responses entered in the portal |
| Purchase order (PO) | Order opened from the chosen quote, delivery status, and supplier invoice |
| Supplier record | Supplier record shared with the stock module |
How does it connect to CRM and service?
The purchasing module uses the same records as the other modules:
- a purchase request can be opened for a part a field service work order needs
- the supplier invoice and payment are linked to the order and show in the Finance module
- supplier records are shared with the stock module
- it runs on the same platform as CRM, field service, ERP, and finance
Typical purchasing flow
1. The warehouse, service, or production team enters its need as a purchase request. 2. The buyer creates an RFQ from the request and invites suppliers. 3. Suppliers open the RFQ in the web portal and enter their quotes. 4. Responses appear side by side on one screen; the buyer picks one and the choice is recorded. 5. A purchase order is opened from the chosen quote, and delivery status is tracked on the order.
Purchase orders are always approved by someone on your team; digital employees prepare suggestions.
