What is a digital sales room?

A digital sales room is a page where you share the quote, the presentation and the technical documents with one customer through a single link. The customer doesn't dig through three email threads for the latest PDF; they open the link. In PureField the sales room is tied to the quote and opportunity in the CRM, and acceptance opens an order by quote type.
What problem does a digital sales room solve?
A sales room solves quote files getting lost across emails. In a typical project sale the customer receives the quote PDF, then a revised quote, then a datasheet, then a reference list. Purchasing, the technical manager and the general manager each look at different emails, and in the meeting everyone talks about a different version.
In a sales room all of it sits behind one link. When the quote changes, everyone who opens that link sees the current version.
How is it different from a PDF quote?
The difference is where the files live. A PDF quote is an email attachment that freezes the moment it's sent; a sales room is a page made for the customer that stays tied to the opportunity.
| Classic PDF quote | Digital sales room |
|---|---|
| Sent as an email attachment | Opened through a link made for the customer |
| Every revision means a new attachment | The current quote stays on the same link |
| Decks and datasheets arrive in separate emails | Quote, presentation and documents on one page |
| Large files can hit attachment limits | Documents are linked on the page |
| Acceptance arrives by email or phone | Acceptance or rejection is marked on the quote |
What goes into a sales room?
A sales room holds everything the customer needs to decide. For equipment and project sales, typical content is:
- the quote and its line items
- the product or solution presentation
- datasheets, manuals and certificate copies
- reference projects
- documents describing installation and service scope
Which sales does it suit?
It suits sales where several people decide and technical documents are needed. For a single-item sale that closes the same day, a PDF quote is enough.
- Project and equipment sales such as HVAC, chillers or lifts
- Quotes approved jointly by purchasing, the technical team and management
- Deals that go through several revisions before the scope is settled
- Quotes where installation and maintenance scope is part of the conversation
How do you do this in PureField?
In PureField CRM the quote is prepared from the opportunity. Each line's purchase cost and margin is visible before the quote goes out. You can send the quote as a PDF or share it with the presentation and documents in a sales room.
When the customer accepts, an order opens automatically by quote type. The sales team creates the customer's QR asset cards from the quote lines, so when the service team goes on site they see on the asset card what was sold.

Frequently asked questions
Who can open a sales room?
The people you share the link with. Each sales room is a page made for one customer and one quote.
Can we keep sending PDF quotes?
Yes. In PureField the quote is also produced as a PDF. The sales room is for deals where you want the presentation and documents to sit with the quote.
What happens when the customer accepts?
Acceptance is marked on the quote and an order opens automatically by quote type. The customer's QR asset cards are created from the quote lines.
Where does the sales room sit in the CRM?
Next to the quote and opportunity. The sales room is part of the CRM and tied to the same customer record as the quote.
