What is supplier management?

Supplier management is running the purchasing line through supplier records, RFQs, and suppliers entering their quotes in a web portal. In PureField, suppliers are kept as records, and the stock module uses the same records. The buyer invites suppliers to an RFQ, each supplier enters a quote in the portal, and the responses are compared side by side. Supplier management is part of the Purchasing module.
What does supplier management hold?
| Area | What is managed |
|---|---|
| Supplier record | Supplier details; shared with the stock module |
| RFQ | Quote requests sent to suppliers and the responses received |
| Purchase order | PO opened from the chosen quote, with delivery status |
| Supplier invoice and payment | Linked to the order, visible in the Finance module |
What is the supplier portal for?
The supplier portal is the screen where a supplier opens an RFQ on the web and enters a quote. The buyer creates the RFQ and invites suppliers; the supplier enters a quote in the portal and the response lands on the RFQ. You no longer collect prices one by one by phone or email.
The rest of purchasing runs in the panel: comparing responses, choosing a quote, and opening the purchase order are your internal team's work.
Benefits of the supplier portal
- Speed: RFQ responses come in through the portal instead of email and are compared on one screen.
- Visibility: The RFQ shows how many of the invited suppliers have responded.
- Record keeping: The chosen quote is recorded, and the purchase order is opened from it.
Connection to CRM and field service
Purchasing runs on the same platform as CRM, field service, ERP, and finance:
- a purchase request can be opened for a part a field service work order needs
- supplier records are shared with the stock module
- the supplier invoice and payment are linked to the order and show in the Finance module
Evidence
- Coordination
- RFQ responses come in through the portal instead of email chains.
- Comparison
- Incoming quotes appear side by side on one screen.
- Approval
- Purchase orders are always approved by someone on your team.
