Sales automation hands a sales team's daily repeat work to rules and AI. A new lead is classified as it arrives, the hot one reaches a manager, the warm one gets a follow-up call booked, and on Monday morning the opportunities that went quiet arrive in one list. Reps learn who to call from the task that lands, not from scrolling a list.

Which sales tasks can you automate?

Tasks with a clear rule that cost you deals when they slip get automated. The first sort of a lead, telling the team, spotting an idle opportunity and writing the day's summary all qualify. Pricing, discounts and the conversation with the customer stay with the rep.

Three questions tell you whether a task is ready to automate:

  • Is the trigger clear? A new lead, an opportunity changing stage, or 08:00 every morning.
  • Can the rule be written down? If one sentence like "hot when there is budget and urgency" describes it, it becomes a workflow.
  • Who gets the result? A manager by panel notification, the team chat, or the rep as an activity.

6 sales automation examples

All six examples below come as ready-made templates in PureField. You install a template and adjust recipients and timings to your own sales process.

Qualify new leads with AI. The moment a lead is created, AI reads its title, company, source and notes. With buying intent, budget or urgency it says hot; with interest but no clear signal, warm; with no interest, cold. A hot lead gets high priority and admins get a panel notification. A warm lead gets a follow-up call activity for the next day. A cold lead is left alone.

You write the classification instructions in your industry's own words. Try a working copy of this flow in the workflow examples on the home page.

Lead from a website form. You point the form on your site at the workflow's inbound request address. Every submission becomes a lead and admins are notified. You can require a signature on incoming requests. Chain it to the first example and form leads get classified at once too.

Post new leads to Slack or Teams. If your team lives in Slack or Microsoft Teams, every new lead lands in the channel you choose. Discord and Google Chat channels work as well. Reps see a new enquiry without opening the panel.

Announce won opportunities. When an opportunity moves to "Closed won", a celebration message goes to the company group in team chat and admins get a notification. Service and purchasing hear about the new job at the same time.

Weekly stale opportunities digest. Every Monday at 09:00 the workflow finds open opportunities that haven't been updated for 14 days and lists them to admins in one notification. With nothing to report, no notification goes out. The sales meeting starts knowing who is waiting on what.

Daily AI sales brief. Every morning at 08:00 the workflow collects the leads of the last 24 hours. AI writes a short brief and posts it to the company group in team chat. The sales team starts the day from the same summary.

Where do the sales autopilot and digital employees come in?

Workflows run rule-based work. Two more PureField tools cover finding leads and following up.

  • Sales autopilot: Scheduled AI lead discovery finds companies that fit your ideal customer profile, imports them to the CRM and enrolls them in an email sequence. Unibox sorts the replies; a positive reply gives the lead owner a task and a notification. See the sales autopilot page.
  • Quote Follow-up digital employee: Every day it reviews quotes that were sent but not closed. For a customer who went quiet it prepares a follow-up email and a call task; for a quote about to expire, a reminder. By default it suggests and waits for your approval. Digital employees are covered on the AI agents page.

A lead the autopilot creates is a record event like any other, so the qualification workflow in the first example runs for those leads too.

What should you decide before you automate sales?

Decide first which lead goes to whom, then who hears about it and through which channel. Before you build, settle these:

  • How does your sales team describe a hot, warm and cold lead?
  • Does the notification go to an admin, the lead owner or the team group?
  • How many days out should the follow-up call be booked?
  • At which step does a rep need to decide?
  • Which sample lead will you test with before turning the workflow on?

Start with one workflow. Watch what it does for a few days in the Runs tab, then add the next.

How do you set up sales automation in PureField?

In PureField, sales automations live on the Workflows screen under the AI menu. There are three ways in:

  • From a template: The six examples above are in the template list. Installing one creates it inactive; you check the recipients and turn it on.
  • On the canvas: Pick a trigger, add steps as cards and connect their outputs. Press Test to run it on a sample record and look at each step's input and output data.
  • By describing it to AI: Write a sentence like "When a new lead comes in, classify it as hot or warm with AI and notify the owner if it's hot", and the steps are laid out on the canvas. You can also ask in Copilot chat: Copilot prepares a plan card, and when you press Apply plan the workflow is created inactive.

Each draft and each successful AI step uses 1 AI credit. Workflows are included in PureExecutive and available as an add-on for PurePioneer; see pricing. The canvas, templates and library are on the workflow automation page.

Frequently asked questions

Does sales automation replace the sales rep?

It brings the rep the right work instead. The workflow classifies the lead and opens the notification and the follow-up call; the conversation, pricing and discounts stay with the rep. Digital employees suggest and wait for your approval by default.

How does AI decide whether a lead is hot or cold?

By the instructions you write. In the ready-made template they read "hot when there is buying intent, budget or urgency; warm when interested but unclear; cold when irrelevant or spam". You replace them with your industry's own signals.

What's the difference between the sales autopilot and a workflow?

The sales autopilot finds leads, imports them to the CRM and runs the cold email sequence. A workflow runs rules that start from an event or a time: classifying, notifying, opening activities, writing summaries. They work together, and a lead the autopilot creates also triggers your workflows.

Does an installed workflow start running right away?

A workflow installed from a template, the library or Copilot is created inactive. You check the recipients and timings, try it with a sample record using Test, and then turn it on.

Which package includes workflows?

They're included in PureExecutive and available as an add-on for PurePioneer. The 7-day free trial opens every feature, workflows included. Amounts are on the pricing page.
