Business management automation: workflows in finance, purchasing, HR and projects

Business management automation hands the daily follow-up work of finance, purchasing, HR and project teams to rules and AI. Overdue invoices reach a manager every morning, a purchase request sent for approval gets announced, a new leave request lands with the manager, and overdue project tasks arrive before the morning meeting. You can also build a workflow by describing it to Copilot in one sentence.
Which business management tasks can you automate?
The tasks that wait for someone to remember to check get automated. Accounting searches for overdue invoices with the same filter every day, a manager notices a purchase request waiting for approval too late, a leave request sits in an inbox, an overdue task surfaces at the weekly meeting. Payments, purchase orders and leave approval stay with the person in charge.
In this kind of work, automation does three things:
- Find: It finds records such as overdue invoices or tasks past their due date with the same rule every morning.
- Tell: It passes the result to managers as a panel notification and to the team as a message in the company group.
- Stay quiet: With nothing to find, it sends no notification, so an empty list bothers nobody.
4 business management automation examples
The four examples below come as ready-made templates in PureField. The template list shows the ones that fit the modules your company has turned on.
| Example | Trigger | What happens | Who hears about it |
|---|---|---|---|
| Overdue invoices (daily) | Every morning at 09:00 | Overdue invoices with an open balance are found and listed by number | Admins |
| Announce submitted purchase requests | A purchase request is sent for approval | Notification and a short message to the company group | Admins and team |
| Notify admins about leave requests | New leave request | Notification with the employee, leave type and dates | Admins |
| Overdue project tasks (daily) | Every morning at 08:30 | Unfinished tasks past their due date are listed | Admins |
Overdue invoices. Every morning at 09:00 the workflow finds overdue invoices that still have an open balance and gathers their numbers into one list. A condition step checks the list: if there are invoices, admins get a notification; if not, the workflow ends quietly. The collections call starts the day from that list. A working copy of this flow sits in the workflow examples on the home page. Invoices and collections are tracked in the finance module.
Announcing purchase requests. When a purchase request is sent for approval, admins get a panel notification and a short message goes to the company group in team chat. The approver sees the request without waiting. A team member always approves the purchase order; the workflow only speeds up the news. Requests, quotes and orders are on the purchasing page.
Notifying leave requests. When a new leave request is created, admins get a notification with the employee's name, leave type and dates. Leave approval runs through the approval step in the HR module.
Overdue project tasks. Every morning at 08:30 the workflow finds project tasks that are past their due date and not done, and lists them to admins. The morning meeting starts knowing who is behind on what. Tasks live on the project management board.
How does building a workflow with Copilot work?
You write in Copilot chat what should happen, and Copilot turns it into a plan card with a name and a goal. When you press Apply plan, AI builds the workflow draft and the workflow is created inactive. The card has an "Open in editor" link; you check the steps on the canvas and turn it on.
Example requests:
- "Every morning at 09:00, find overdue invoices and send me a panel notification if there are any."
- "When a purchase request is sent for approval, post it to the company group."
- "List overdue project tasks to the admins every morning."
Copilot also lists your workflows and their recent runs, and takes you to the Workflows, Runs, Templates and Library tabs. Owners and admins see every workflow; other users see the ones they built. Creating a draft uses 1 AI credit. Copilot and digital employees are covered on the AI agents page.
What should you decide before automating business management?
Decide first whose morning each list lands in, then which approval stays with whom. Answer these:
- Does the overdue invoice list go to finance or to the owner?
- Is the notification the panel bell, team chat or email?
- Who approves purchase and leave requests, and should that person get the alert?
- Which workflow runs every day, and which only when something happens?
- Which sample record will you test with before turning the workflow on?
How do you set it up in PureField?
Workflows are built on the Workflows screen under the AI menu: from a template, by connecting steps on the canvas, by describing it to AI in a sentence, or by asking Copilot in chat. A workflow installed from a template is created inactive; you check the recipients, try it on a sample record with Test, and then turn it on. The Runs tab shows every run step by step.
A workflow can reach the modules your company has turned on and the records the person who saved it can access. Workflows are included in PureExecutive and available as an add-on for PurePioneer; see pricing. The canvas, templates and library are on the workflow automation page.
