Field service automation: 5 workflows from request to invoice

Field service automation hands the repeat steps between a service request and the invoice to rules and AI. A new request alerts the manager the moment it arrives, a digital employee suggests the right technician, a summary of the completed work order goes to the team, and an invoice draft is prepared from the service report. Assignment and invoice approval stay with the service manager.

Which field service tasks can you automate?

The telling and preparing between request, assignment, close-out and billing get automated. A request nobody notices until the customer calls twice, a technician picked by checking everyone's workload by hand, a finished report whose invoice gets forgotten. Your team still decides who goes and when the invoice is issued.

In field service, automation comes from three places:

  • Workflows: Rules that start from an event or a time. New request alerts and work order summaries are built this way.
  • Digital employees: AI personas that own a job. Technician suggestions and invoice drafts come from them; by default they suggest and wait for approval.
  • The field service module: Reminders tied to records, such as the next service date, run in the module itself.

Instant alert for new service requests. The moment a service request is created, the workflow sends admins a panel notification with the customer and problem details. Whether the request came through an external form or by phone, the record event is the same. You can send the alert to the service group in team chat as well.

AI technician suggestion. The Service Planning digital employee scores technicians for a service request on skills, performance, distance and workload. The score is calculated by rule and the suggestion arrives as an approval card. The service manager approves the assignment.

AI summary of completed work orders. When a work order moves to completed, AI writes a short summary from the problem description and the manager's note: with the customer's name, in plain language, in two or three sentences. The summary goes to the company group in team chat. Sales reads the customer's latest service there before the next call. A working copy of this flow sits in the workflow examples on the home page.

Invoice draft from a service report. The Service Billing digital employee tracks completed reports and prepares invoice drafts. It suggests the draft and you approve it. The full flow is in the guide on how to invoice a completed service job.

Maintenance reminder. The equipment's next service date sits on its equipment card. When the date is near, the customer gets a reminder email; your team opens the new work order and assigns a technician.

What should you decide before automating field service?

Decide first who a new request reaches, then who needs to know what when the job closes. Answer these:

  • Does the new request alert go to an admin, the service group or the on-call technician?
  • In a technician suggestion, should distance or skills weigh more?
  • Who reads the summary of a finished job: sales, finance, management?
  • Which reports get invoiced, and which fall under warranty or a service contract?
  • Which sample work order will you test with before turning the workflow on?

How do you set up field service automation in PureField?

Workflows are built on the Workflows screen under the AI menu. The new service request alert and the AI summary of completed work orders come as ready-made templates; an installed workflow is created inactive, and you check the recipients and turn it on. You build your own on the canvas by connecting steps, by describing it to AI in a sentence, or by asking Copilot in chat. A workflow from Copilot also arrives as a plan card and is created inactive once you approve.

Digital employees are covered on the AI agents page. Requests, work orders, QR equipment cards and service reports live in the field service module.

Each successful AI step uses 1 AI credit. Workflows are included in PureExecutive and available as an add-on for PurePioneer; see pricing.

Frequently asked questions

Does field service automation assign the technician on its own?

The Service Planning digital employee scores technicians and suggests one; the service manager approves the assignment. Digital employees suggest and wait for approval by default.

Where does the summary of a completed work order go?

In the ready-made template it goes to the company group in team chat. You can edit the workflow to send it to another group, a panel notification, or a Slack or Microsoft Teams channel.

Is the invoice issued automatically from the service report?

The Service Billing digital employee prepares an invoice draft from the completed report. It suggests the draft; you approve the invoice.

Does a work order open automatically when maintenance is due?

When the service date is near, the customer gets a reminder email. Your service team opens the work order and assigns a technician; you decide which maintenance goes to whom.

Which package includes workflows?

They're included in PureExecutive and available as an add-on for PurePioneer. The 7-day free trial opens every feature, workflows included. Amounts are on the pricing page.
