Work order tracking software: from request to service report

Work order tracking software is a system that keeps each job from request to closure in one record, showing its status, assigned engineer and equipment. In PureField, a service request, work order, equipment card and service report are linked in the same record chain, so the report is built from the work order without copying data by hand.

What work order tracking software does

Work order tracking software shows at every moment which stage a maintenance, installation or field job is in, who is working on it and which equipment it belongs to. When the same information lives on paper forms and in spreadsheets, versions drift apart. In PureField, the work order is the shared record of the team: a request creates the work order, the site visit is tracked on the schedule, and the completed job connects to the service report.

This page is written for technical service managers, operations leads and owners of small and mid-sized service businesses. It follows the flow from request to service report in the same order the team works.

From request to service report, step by step

  • Request intake: A request from Service Requests or External Requests is linked to a work order.
  • Planning and assignment: On the Work Orders screen, a service engineer is assigned and the site visit is tracked on the calendar.
  • Field work: The technician starts a report from the equipment card or the work order and adds photos and signature blocks as evidence.
  • Service report: The report is generated as a PDF, sent by email and linked to the customer rating portal.
  • Closure: If a draft report exists, it is completed in the admin panel and the work order is closed.

Paper forms, spreadsheets and PureField compared

The table below compares three common ways to track work orders using the same criteria.

Equipment history and preventive maintenance reminders

  • QR equipment card: Asset record, warranty, maintenance date and documents stay with the equipment.
  • Maintenance reminder: A preventive maintenance reminder email is sent based on the equipment's next maintenance date.
  • New work order: After the reminder, the team opens a new work order and assigns it.
  • History: Maintenance history and work order tracking for each asset are read from the same record.

From service report to invoice and PDF

A completed service report can be turned into an invoice. The Service Billing digital employee prepares this step and presents its suggestion for your approval, so nothing is billed without a person confirming it. The service report is generated as a PDF page by page and sent to the customer by email. A draft report stays open in the panel until a manager approves it.

Mobile field work and location tracking

Technicians record photo evidence, signatures and location information in the mobile app while on site. Location tracking lets authorized users see engineer positions on a map and is enabled per account. The admin panel is the full management screen, and the mobile app is the field surface where the work is recorded.

Who this suits

Field service companies, industrial machinery sellers, medical device service teams, HVAC firms and water treatment companies can set up work order tracking this way. Each trade defines its own checklist, and scope and pricing are discussed through the quote form.
