How to do cold email

Cold email is a sales email to a company you have not been in touch with before. Good results need five things: a list that fits your ideal customer profile, verified addresses, a domain with SPF and DKIM records, a short sequence of a few steps, and a rep who handles each reply the same day.

How do you choose who to write to?

Write down your ideal customer profile first, then build the list from it. Industry, region, company size and whether the problem you solve exists at that company are enough to start. A company selling cold room maintenance might target "food logistics firms in the Marmara region with two or more cold stores".

Two rules apply when you build the list:

  • Write only to verified addresses. Guessed addresses such as "first.last@company.com" bounce and hurt your sending account's reputation.
  • Do not add the same company twice. A duplicate record means two reps writing to the same person.

What must be ready on your domain before you send?

Your domain needs SPF, DKIM and DMARC records. They prove to the receiving mail server that the email really comes from you; without them mail lands in spam or is not delivered at all. See the SPF, DKIM and DMARC guide for details.

Many teams send cold email from a second domain that looks like their main one. If something goes wrong, day-to-day company email is not affected.

How do you build a sequence?

A sequence is the first email plus follow-ups sent at set intervals when nobody replies. Three to five steps are enough for most teams. Each step adds something new; "just bumping this" is not a step on its own.

StepDayContent
10One observation about their company, the problem you solve, one question
23A short, concrete case from a similar company
37A different angle: cost, time or risk
414A short close: "If this isn't a priority now, I'll make a note"

Follow-ups should go in the same thread as the first email, so the reader sees the history at a glance.

How many emails should you send per day?

Start low with a new sending account and increase gradually. Mail providers treat a sudden high volume from a new account as suspicious. Leave varying gaps between sends rather than a fixed interval.

If your bounce rate starts to climb, stop sending and check the list. Carrying on before the cause is fixed can damage the account's reputation for good.

What should you do when replies come in?

Sort each reply by type and pass positive ones to the rep the same day. Not every reply in the inbox is the same:

  • Interested / meeting request: The rep replies the same day and the sequence stops.
  • Question: Answer it and take the person out of the sequence.
  • Referral: Record the right person and write to them separately.
  • Not now: Note the date and get back in touch then.
  • Not interested: Remove them from the sequence and do not write again.
  • Auto-reply or out of office: Wait until they are back.
  • Bounce: Remove the address from the list.

How do you run cold email in PureField?

PureField Sales Autopilot runs cold email campaigns from inside the CRM. Scheduled AI lead discovery lists companies that fit your profile. In "discover only" mode you pick which ones enter the CRM; in "auto" mode duplicates are removed, owners are assigned in turn and each lead joins an always-on campaign. Only verified addresses are used.

  • A campaign is built in 7 steps: leads, sequence, schedule, options, accounts, review and analytics.
  • A sequence takes up to 10 steps, each with up to 5 variants. A/B optimisation runs on its own, with spintax and AI variables such as a personalised first line.
  • Follow-ups stay in the same thread. Every send waits a minimum gap plus a random delay.
  • Each sending account ramps up gradually and gets a health score. If bounces climb or errors repeat, the account pauses itself.
  • Unibox reads replies over IMAP without changing anything in your mailbox and sorts them into 11 types, including interested, meeting request, question, referral, not now and not interested. Bounces, auto-replies and out-of-office messages are recognised separately; out-of-office pushes the sequence to the return date. AI never overrides a label you set.
  • A positive reply marks the lead qualified and hot, and the owner gets a task and a push notification.
  • Sales Autopilot and Marketing share one do-not-contact list: nobody who unsubscribed, bounced or has email consent turned off in the CRM gets emailed.

Someone on your team starts the campaign once, then it runs on its own; a stop switch turns it off whenever you want. Accounts connect with an app password over SMTP.

Frequently asked questions

How many follow-up emails should a cold email sequence have?

For most teams, three to five steps including the first email. Each step should carry something new, and anyone who says they are not interested should not get another email.

How do you start with a new sending account?

Start low and increase volume gradually. In PureField each account ramps up gradually, its health score is tracked and it pauses itself when bounces climb.

Is it a problem to email guessed addresses?

Yes. Guessed addresses bounce at a high rate and damage the sending account's reputation. PureField Sales Autopilot only writes to verified addresses.

Is cold email legal?

It depends on the country, on whether the recipient is a business or a consumer, and on consent. In Turkey, Law No. 6563 and KVKK apply together. A consent ledger and İYS check keep records, but legal responsibility stays with the sender, so confirm with your legal advisor.

Does the campaign run completely on its own?

Someone on your team starts it once; after that, lead discovery, import and sending run on their own. The stop switch turns it off whenever you want, and in "discover only" mode you choose the leads yourself.
