What is customer tracking software?

Customer tracking software keeps the calls, quotes, equipment, service records and invoices for a customer on one customer record. In a company that sells equipment and services it, sales, technicians and accounts open the same record: who called, which quote is open, whether the unit is under warranty and whether an invoice is overdue all sit on one screen.

How many places does one customer live in today?

In most small and midsize companies that sell and service, the same customer lives in four places. A call comes into an HVAC service company from Cedar Dental Clinic (an example customer): one of the units has stopped cooling. The person who picks up needs four answers:

  • When did we last speak, and with whom? On the salesperson's phone and in their memory.
  • Is there an open quote? In the salesperson's email folder.
  • Is the unit under warranty, and when was it last serviced? In the technician's notebook or the service spreadsheet.
  • Is there an overdue invoice? In the accounting software.

Four questions mean three phone calls. Customer tracking software answers all four from one record, so the person on the phone can answer right away and the technician leaves knowing the unit's history.

What does the customer record hold, and which team uses it?

In a company that sells and services, the customer record holds the records of every team that touches that customer. Each record is created in its own module and shows on the customer record because it is linked to that customer.

RecordWhat it holdsWho uses it
ContactsThe people at the company and their contact detailsSales, service
ActivitiesCalls, visits, tasks; PureField Meet bookings as meeting activitiesSales
Opportunities and quotesStage, value, quote PDF, accepted or declinedSales, management
Sales roomsThe room the quote was shared in, visit count and last visitSales
EquipmentQR equipment record, warranty, maintenance date, documentsService
Service requests and reportsFault report, work order, signed service reportService
Invoices and balanceInvoices issued, payments, the customer's balanceAccounts

Everyone who opens the record sees the same data. A salesperson checks the unit's service history before writing a new quote, and accounts sees the service report when issuing the invoice.

How is customer tracking software different from CRM?

Customer tracking software is often just the everyday name for CRM; the difference is in what the customer record covers. A sales-focused CRM covers the path from lead to quote. Customer tracking software for a company that sells and services also links the equipment, service and payments that come after the sale to the same record. For the basics, see what is CRM?

Which work moves along on its own?

When records sit on the same customer, the work one team finishes becomes the starting record for the next. In PureField the handoffs work like this:

  • When a quote is accepted, an order opens automatically depending on the quote type, and the sales team creates QR equipment records linked to the customer from the quote lines.
  • When the customer opens the quote in a sales room, the visit count and last visit show on the opportunity, quote and customer records.
  • An equipment record with an upcoming maintenance date triggers a reminder email.
  • A completed service report is invoiced, the payment is recorded against the invoice and the customer's balance updates on the record.
  • The collections digital employee watches overdue invoices and the quote follow-up digital employee watches quotes waiting for a reply; both prepare suggestions and wait for your approval.

Ask Copilot "Does Cedar Dental Clinic have an open quote or an overdue invoice?" and it answers from those records.

What should you check when choosing one?

When choosing, look less at the number of screens and more at whether a record moves between teams without being retyped. Ask these questions in the demo, using one of your own customers:

  • One record. Do the salesperson, technician and accounts open the same customer record?
  • Quote to equipment. Do the lines of an accepted quote become equipment records without retyping?
  • Access in the field. Can the salesperson see the customer and quotes, and the technician the unit's history, from a phone?
  • Permissions. Does each user work only with the records in the modules they are allowed to use?
  • Accounting link. Do invoices and customer accounts match your e-invoice provider or accounting software?
  • Migration order. Is it clear in which order your current spreadsheet will move over? The steps are in CRM instead of Excel.

How does customer tracking work in PureField?

In PureField the customer record brings together records from CRM, field service and finance. Contacts, activities, opportunities, quotes and sales rooms live in CRM; equipment, service requests and reports in field service; invoices and balance in finance. All of them are linked to the same customer.

The sales team qualifies a lead and converts it to an opportunity or a customer. Salespeople in the field see leads, contacts, opportunities, activities, quotes, orders and sales rooms in the iOS and Android app. A technician scans the unit's QR code, sees its warranty and last service, writes the report on site and has the customer sign it. Copilot and digital employees work with these records on PAIOS (PureField AI Operating System).

Frequently asked questions

Is customer tracking software the same as CRM?

Most of the time they are two names for the same need. CRM describes the sales process; customer tracking usually means seeing every record about a customer in one place. In a company that sells and services, that includes equipment, service history and invoices on the same record.

Can a small company track customers in a spreadsheet?

A spreadsheet works for one person and a short customer list. Once sales, technicians and accounts all touch the same customer, the list depends on whoever keeps it and the files drift apart. The migration steps are in [CRM instead of Excel](/en/blog/crm-instead-of-excel-customer-tracking).

Can technicians see customer information in the field?

Yes. The technician scans the unit's QR code and its warranty, last service and service history open. The sales team sees customers, contacts, opportunities and quotes in the iOS and Android app.

Who can see what is on the customer record?

User permissions and module assignments are set in the panel, and each user works with the records in the modules they are allowed to use. Sales sees opportunities and quotes, technicians see equipment and service records, and accounts sees invoices and balance, all on the same customer.

Where can I see pricing?

Plan prices are listed on the [pricing](/en/pricing) page: monthly and per company. You can try every feature free for 7 days, with no credit card required.
